Sophie Simms Coaching Terms & Conditions

Thank you for choosing to train with Sophie Simms. These Terms & Conditions are designed to ensure a safe, enjoyable and professional coaching experience for everyone. By purchasing personal training sessions or coaching services, you agree to the terms below.

1. Services

Coaching is available as in-person personal training, online coaching or hybrid coaching (a combination of in-person and online support). All coaching is tailored to your individual goals, experience and ability.

2. Health & Medical Information

Before beginning coaching, you will be asked to complete a health questionnaire (PAR-Q).

You agree to provide accurate and up-to-date health information, inform Sophie of any injuries, illnesses, pregnancy, medical conditions or medications that may affect your ability to exercise, and seek medical advice where appropriate before participating in exercise.

You take part in exercise sessions at your own risk.

3. Payment

Coaching is paid monthly in advance and continues on a rolling monthly basis until cancelled in accordance with these Terms & Conditions.

Your monthly payment covers the coaching service you have chosen, including the number of in-person sessions and/or online coaching support included within that service.

Payment is due on your agreed monthly payment date. Coaching will not begin until the first payment has been received.

Prices may change in the future. You will be given notice of any change before it applies to your monthly coaching payment.

4. 14-Day Cooling-Off Period

If you purchase a coaching service online, by telephone or by email, you have the right to cancel within 14 days, beginning the day after the contract is agreed.

To cancel, please email sophie@sophiesimms.com with a clear statement that you wish to cancel.

If you ask for your coaching to begin during the 14-day cancellation period and subsequently cancel, you will be charged proportionately for any coaching services already provided.

This does not affect your statutory rights.

5. Cancellations & Rescheduling

If you need to cancel or reschedule a 1:1 coaching session, please give at least 24 hours notice.

Sessions cancelled with at least 24 hours notice can be rearranged within the same monthly coaching period, subject to availability.

Sessions cancelled with less than 24 hours notice, or missed without notice, will normally be counted as used.

Unused sessions will not be carried over into the next monthly coaching period.

If I need to cancel a session, we will rearrange it for a mutually convenient time and you will not lose that session.

6. Pausing or Cancelling Your Coaching Package

If you need to pause your coaching due to illness, injury, travel or a significant change in circumstances, please contact me as soon as possible.

Pauses will be considered on an individual basis and must be agreed in advance.

Where a pause is agreed, we will confirm the pause period and the date your coaching and payments will resume.

If you wish to cancel your monthly coaching service, please provide 30 days’ notice. Payments due during the notice period will continue as normal, and you’ll continue to receive your usual coaching and support until your service ends.

7. Late Arrivals

If you arrive late, your session will still finish at the scheduled time so that other appointments are not affected.

If Sophie is running late, your session will either be extended where possible or the missed time will be made up at another agreed time.

8. Using Your Sessions

Your coaching service runs in monthly periods from your agreed payment date.

For example, if your coaching begins on the 12th of the month, your monthly coaching period will run from the 12th until the 11th of the following month.

Any 1:1 sessions included in your service should be used within that monthly coaching period.

Unused sessions will not be carried over to the next monthly coaching period, except where I have had to cancel a session and we have been unable to rearrange it within the same period.

9. Refund Policy

Refunds are not available for completed coaching sessions.

Unused sessions or coaching may be refunded only where required by law or in exceptional circumstances agreed by Sophie.

10. In-Person Training

Sessions will take place at the agreed location.

Clients are expected to wear suitable clothing and footwear (or train barefoot where appropriate), follow coaching instructions, respect the training space and equipment, and inform Sophie immediately if they experience pain, dizziness or feel unwell during a session.

11. Online Coaching

Online and hybrid coaching may include personalised strength training delivered through the app, regular programme reviews and adjustments, progress tracking, weekly check-ins and WhatsApp support, depending on the coaching service you have chosen.

Hybrid coaching also includes the agreed number of 1:1 coaching sessions within each monthly coaching period.

You agree to communicate openly about your progress, any difficulties you are experiencing, and any changes to your health or circumstances that may affect your training.

Your training is created specifically for you and should not be shared or distributed to others.

12. Communication

You're welcome to get in touch with questions relating to your coaching. Sophie aims to respond as soon as possible, but please allow up to two working days for a reply.

Messages sent outside of sessions are intended for coaching support and general questions. They should not be used for urgent medical advice or emergencies.

13. Results

Coaching provides guidance, education and support, but results cannot be guaranteed.

Progress depends on many factors including consistency, nutrition, recovery, lifestyle and individual circumstances.

14. Liability

Every effort is made to provide safe and effective coaching.

However, participation in exercise carries an inherent risk, and Sophie Simms accepts no liability for injury, loss or damage except where required by law.

15. Privacy

Your personal information will be collected and processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Information provided by you, including health information, will be used solely for the purpose of delivering your coaching safely and effectively. Your personal data will be stored securely, treated confidentially, and will not be shared with third parties unless required by law or with your explicit consent.

You have the right to request access to the personal information held about you, ask for it to be corrected, or request that it be deleted where legally appropriate.

16. Changes to These Terms

These Terms & Conditions may be updated from time to time.

The latest version will always be available on the Sophie Simms website.
